Member Rates
You must be an active AITPM member to register at the member rate. The National Transport Conference Team will be checking the validity of all registrations.

Early Bird Registrations
Early Bird Registrations open 29 April 2025 and close 30 June 2025. Early Bird Registrations must be paid in full prior to the close of the Early Bird Registration period for the discounted rate to apply (by 29 June 2025). If you are paying by invoice, please ensure that the payment is processed during this period, or your registration amount will automatically increase to the standard rate.

Late Registrations
Registrations received within 21 days of the National Transport Conference will incur a late fee of $100 per registration.

Speaker Registrations
National Transport Conference presenters are entitled to register at the discounted speaker rate. Speakers who have been successful via Call for Abstracts must register via the speaker registration portal to take advantage of this rate. Speakers must be registered and paid in full to present at the National Transport Conference.

Sponsor Registrations
National Transport Conference Partners and eligible AITPM Annual Partners are entitled to a discount off the full Non-Member ticket price ONLY via a discount code. This code will only be communicated to sponsors eligible for a discount and will be forwarded via email only. Please contact conference@aitpm.com.au for more information.

Cancellation
Attendee who find themselves unable to attend the National Transport Conference after submitting their online registration are able to nominate a substitute. All substitutions and cancellations must be made by email to conference@aitpm.com.au.

Please note any accommodation or travel booking cancellations must be arranged from your point of purchase. AITPM holds no liability for any losses incurred from this cancellation for travel, accommodation or any other expenses.

No Shows
If you are unable to attend, please advise us via emailing conference@aitpm.com.au to cancel your registration.
If you fail to advise us prior to congress, we regard your registration as 'no show' and cancellation fee of 100% will apply.

Refund policy

• Cancellation up to 28 days prior to the commencement of the National Transport Conference will be eligible for a full refund, less an administration fee of $100.
• Cancellations received between 27 days and 10 days of the commencement of the National Conference will be eligible for a 50% refund.
• Cancellation within 10 days of the National Conference will not be eligible for a refund.

Disclaimer of liability
AITPM will not accept any liability for damages of any nature sustained by participants of their accompanying persons or loss of or damage to their personal property as a result of the congress or related events.

Insurance
AITPM confirms that the delegate registration fees do not in any way include insurance cover. It is recommended that delegates consider their individual travel and health insurance requirements prior to making travel arrangements.

Privacy
AITPM complies with the National Privacy Principles set out in the Commonwealth Act 1988 and reaffirmed in the Privacy Act (Private Sector) Amendment Act 2000 which came into effect in law in December 2001. 

Unless required by law the Association will not disclose personal information about an individual unless the individual has provided consent, either at the time of providing the information or following a specific request. 

In registering for this conference, your relevant details (name, organisation and state) will be included on a delegate list which will be distributed to all delegates, sponsors and exhibitors and future conference organisers. Please advise us during the registration process if you do not consent for your details to be included on the delegate list. Your information may also be collected for RSVP purposes related to social functions and other events ad required. When necessary, your details may be shared with relevant third parties and across other events (if required) to facilitate event organisation, including sending invitations and managing event logistics.

Media and photography
In registering for the National Transport Conference you accept that various events may be photographed, video or audio recorded and that this content may be used by AITPM at its discretion on our website, via social media, newsletters or other promotional material.  

Accommodation Terms and Conditions
The National Transport Conference and AITPM is using "Accommodation Link" (a licensed booking portal of ConferenceNational) to provide special accommodation deals for Conference attendees. Please refer to each hotel's Terms and Conditions in each booking page. AITPM has contracted ConferenceNational/ AccomodationLink to provide accommodation and therefore will not accept any liability for loss or responsibility for bookings.
