GENERAL

When and where is the National Transport Conference?

The National Transport Conference will be hosted at the Adelaide Convention Centre in Foyer E (Exhibition), Hall C (Plenary), Room E1, Room E2 and Room E3 (Breakouts) from Wednesday 3 - Friday 5 September 2025.

The Conference Dinner will be held in the Panorama Ballroom at the Adelaide Convention Centre on Thursday 4 September. 

Please refer to the address listed on your bookings for any Conference Plus+ sessions.


What is the dress code?

The National Transport Conference dress code is business casual.

The Conference Dinner dress code is Business Casual / After 5. 


How do I get to the National Transport Conference?

This year’s conference will be located in the Adelaide CBD , with a range of transport options available:

  • PUBLIC TRANSPORT: Adelaide has an extensive public transport system of buses, trains and trams, operated by Adelaide Metro. The tram is free to travel on within the city centre, with the closest tram stop conveniently located a two-minute walk from the Centre, in front of the historic Adelaide Railway Station.
  • DRIVING: Plan your visit and check out the car parking options at Adelaide Convention Centre before your event.
  • TAXI/RIDESHARE: Taxis and Ubers can be booked for pick-up or drop-off at Adelaide Convention Centre, with a taxi rank located right in front of the Centre’s main entrance off North Terrace


Do I need a 'physical ticket' to attend the National Transport Conference?

All guests registered to attend the National Transport Conference will receive a name badge at arrival. This name badge is your ticket to the Conference; it will highlight your ticket type and the details about the networking events you are also registered for.


Will there be a photographer or media at the Conference?

Yes, our official photographer will be capturing still photography and also a number of videos at the Conference. There may also be Media present at any time throughout the National Transport Conference. By registering to attend the National Transport Conference, you accept that various events may be photographed, video or audio recorded and that this content may be used by Transport Professionals Association at its discretion on our website, via social media, newsletters or other promotional material.

It’s your all-in-one guide to everything happening at the Conference — from breaking news to real-time program updates and speaker announcements. Download the 'EventsAir Attendee App' from your apps store and enter in event code NTC2025.

Using the information we have provided, log in to get the most out of the event app, to interact with our program, see your function registrations or even save your conference notes. 

It is recommended you switch the settings in the app from 'device time zone' to 'event time zone' to ensure the details display correctly.


CATERING

Will food and drinks be provided?

Yes. Morning tea, lunch, and afternoon tea are included on all conference days. Coffee and water stations will be available throughout the venue.

I have dietary requirements — will these be accommodated?
Absolutely. Please ensure your dietary requirements were included in your registration. These will be catered for at all functions and meal breaks. Should you wish to confirm your dietary requirements, please contact the National Transport Conference Team on conference@aitpm.com.au. 


SOCIAL FUNCTIONS AND NETWORKING

You will need to have a registration to attend any Social Functions at the National Transport Conference.

If you hold a 3 day full conference pass your, registration includes access to

  • Welcome Happy Hour
  • Conference Dinner (Panorama Ballroom)
  • Closing Drinks

Please refer to your booking confirmation, which highlights functions you are able to attend. 

You will also automatically see the functions you are registered for under your 'Personal Agenda' in the Conference App.


Can I bring a guest to the social events?

Yes, additional tickets for guests can be purchased during registration or by contacting the National Transport Conference Team on conference@aitpm.com.au -- please note availability may be limited


CHANGES TO YOUR REGISTRATION

What if I need to cancel or transfer my registration?

Please contact the National Conference Team as soon as possible via conference@aitpm.com.au.
Transfers to colleagues may be possible depending on timing. Please refer to the below booking terms and conditions.

If you are now unable to attend the National Transport Conference, please refer to our booking and refund policies below.

Cancellation
Attendees who find themselves unable to attend the National Transport Conference after submitting their online registration are able to nominate a substitute. All substitutions and cancellations must be made by email to conference@aitpm.com.au.

Please note any accommodation or travel booking cancellations must be arranged from your point of purchase. Transport Professionals Association holds no liability for any losses incurred from this cancellation for travel, accommodation or any other expenses.

No Shows
If you are unable to attend, please advise us via emailing conference@aitpm.com.au to cancel your registration.
If you fail to advise us prior to the Conference , we regard your registration as 'no show' and cancellation fee of 100% will apply.

Refund policy

  • All refunds will incur a $5.00 processing fee, which will be deducted off the total amount purchased on top of any additional fees incurred. Substitution of attendees is recommended.
  • Allow up to 10 business days to received your requested refund.
  • Cancellation up to 28 days prior to the commencement of the National Transport Conference will be eligible for a full refund, less an administration fee of $100.
  • Cancellations received between 27 days and 10 days of the commencement of the National Conference will be eligible for a 50% refund.
  • Cancellation within 10 days of the National Conference will not be eligible for a refund.


SPEAKER FAQ's

What is the format for presentations?
Most presentations are 15 minutes in length, followed by Q&A. Panel and workshop formats may differ, and facilitators will contact you with specific instructions if applicable.

Do I need to submit my slides before the event?
Yes. Slides should be submitted by 22 August 2025 so our AV team can preload them. You may also bring a backup copy on USB. You will not be able to plug your laptop in to present it will need to be formatted formally via our AV team onsite. Ensure you have a back up copy available. Please ensure your presentation is recieved in Powerpoint Format Only.

What presentation format is required?
We recommend Microsoft PowerPoint (16:9 format) only with limited transitions. 

Where do I go when I arrive?
Please check in at the Registration/Information at the Adelaide Convention Centre. From there, you’ll be directed to the speaker preparation room or your assigned session room. Please ensure you arrive a minimum of 30 mins before your session in the program starts (this will be different to the timing of your abstract presentation within the session).

Will there be technical support?
Yes. Hall C will have a dedicated AV technician, with Room E1, E2 and E3 assisted by a floating AV Technician.  Our Room Monitors will assist with setup and timing. A speaker prep room will also be available for reviewing your slides and finalising your presentation throughout the conference (if required). Please note that no changes will be accepted within 1 hour of the start time of your session.

Do I need to bring my own laptop?
No. All presentations will be run from the venue’s central system. If you have special requirements e.g. interactive polling - Mentimetre or Aha Slides or if you will be playing a video in your presentation, please advise the National Transport Conference team by no later than Friday 8 August 2025.

Do I need to bring my notes?
Yes, we would recommend you bring a printout of any speaker notes or prompts so you have them on hand for your presentation. For any sessions in Hall C, there is a foldback monitor, and for sessions in E1, E2 or E3 - there is laptop at the front of the room/ on the lectern running your presentation.  Presentation mode and any notes mode will be subject to room infrastructure.

Who will introduce me?
Your session chair will introduce you, keep time, and facilitate audience questions.  All session chairs are now listed against each of our sessions in the Conference Program.
